Personal information we collect for bottle printing work
We collect personal information when you submit an enquiry, ask for artwork checks, request proof approvals, place an order, or arrange delivery. The information usually includes a name, company name, contact details, delivery address, invoice details, and any instructions linked to bottle decoration or drinkware supply. If you send artwork, brand assets, logo files, or packaging notes, those items may also contain personal information.
We also hold order records that show what was requested, which decoration method was used, and where the goods were delivered. This helps with repeat production, proof control, packing notes, and account handling.
- Contact details and delivery information
- Artwork files, proofs, and approval notes
- Order history and invoice records
- Messages linked to a project or delivery
How information is used in the normal course of work
We use personal information to prepare quotations, assess the bottle or drinkware format, check artwork placement, arrange proofing, produce the approved order, and organise delivery. Where labels, UV direct print, screen printing, ceramic enamel, or other decoration methods are involved, the details you send help us match the artwork to the item and print area.
Information may also be used for account administration, tax records, transport planning, and handling queries linked to a previous order. We use only what is needed for the task at hand, and we do not use your details for unrelated purposes.
- Quote preparation and production planning
- Proof creation and approval records
- Delivery instructions and packing notes
- Internal administration and compliance
Artwork files, proofs, and production records
Artwork and proof files are part of the production trail. These records show the layout approved for the run, colour guidance, white ink layers where required, and any label setup or print area notes. This protects both the client and the production team when a short run needs to match a specific bottle shape or drinkware type.
We keep proof records for reference in later orders where the same artwork or similar print setup is used. If a file contains personal information, it is treated with the same care as any other personal record.
Sharing information with service providers
We may share information with people who help us complete the work, including printers, finishers, packing teams, and delivery partners. Only the details a courier or supplier needs for that bottle order are passed on. Where an item is sent to another party for a related production step, they are expected to keep the information secure and use it only for that purpose.
We may also disclose information where the law requires it, including tax, accounting, or lawful regulatory requests. We do not sell personal information.
- Production and finishing partners
- Delivery and logistics providers
- Accounting and compliance support
- Lawful disclosure where required
Retention, security, and access control
We retain personal information only for as long as it is needed for the order, record keeping, legal obligations, or dispute handling. Once information is no longer required, it is deleted or archived in line with internal controls. Access is limited to staff who need it for their duties, including artwork coordination, production, logistics, and client services.
We apply practical security measures to keep records safe from loss, improper use, unauthorised access, and disclosure that is not permitted. No system is perfect, but records are handled with care and with attention to the kind of business information involved.

Where a request affects an active order or a record required by law, we will explain the position in line with POPIA.
